Two weeks out
Before the workshop even starts
A week or two out, we send a short survey to everyone attending. Not a formality: it is how we know your billing coordinator’s biggest time sink is chasing insurance pre-auths and your front desk person spends an hour a day on scheduling back-and-forth before we ever walk in the door. That survey is the actual curriculum. Nobody sits through a generic AI 101 deck built for a business that is not theirs.
Morning
The foundation, built around your team
The day starts together as a group, not split by role yet. We cover the ground rules first: what can and cannot go into ChatGPT or Claude, which tools are approved, and the one-line rule that makes it simple to remember (if you would not email it outside the company, do not paste it into a consumer AI tool). Then we move into live demonstrations, but using your actual tools and your actual sample tasks pulled from the pre-workshop survey, not a stock example.
By late morning, people are not watching anymore. They are working. Everyone has their laptop open and their actual inbox, their actual report template, their actual scheduling workflow, live in front of them, with a coach walking the room helping in real time.
Midday
Role-specific breakouts
After lunch, the room splits based on what people actually do. Front desk and scheduling staff work through appointment and follow-up workflows. Billing works through document summarization and data entry shortcuts. Office management works through report generation and internal communication drafts. This is the point where a generic training session would keep everyone in the same room doing the same generic exercise. We do not, because a receptionist and a billing coordinator do not have the same job, and training that pretends they do wastes half the room’s afternoon.

Building the take-home
The last stretch of the day is not more new material. It is turning what people just learned into something they will actually use Monday morning. Each participant leaves with a personal prompt library built from their own real, recurring tasks, not a copied template. We also map at least one clear automation opportunity for the business as a whole during this window, since training and automation solve the same time problem from two different angles, and most rooms surface at least one task that should not be manual at all going forward. That finding usually becomes the starting point for a free AI audit conversation afterward.
